    MINUTES
    FIRST QUARTER MEETING
    SOUTHERN FOUR WHEEL DRIVE ASSOCIATION
    MARCH 3, 2012.

    Pursuant to notice given in common media outlets, the first quarter meeting of the Southern Four Wheel Drive Association was held the 3rd day of March 2012, in Tracy City, Tennessee at the Tracy City Elementary School 276 3rd Street Tracy City, Tn. 37387.

    1. President, Roger Theurer, called the First Quarter Meeting to order at 9:05 A.M. Central Time. He reviewed the agenda for the meeting. Roger introduced the SFWDA officers that were present.

    •Bob Sullivant, Director of Membership
    •Flint Holbrook, Director of Conservation and Land

    •Ray Stanley, Treasurer
    •Dawn Shirley, Recording Secretary

    •David Borum, Director of Legislative Affairs was absent

    Roger thanked the Damn Locals Four Wheel Drive Club for hosting the meeting and the breakfast food.

    2. Approval of 4th Quarter Minutes and Leadership Meeting
    Dawn Shirley summarized the 4th quarter, December 3, 2011, and the Leadership meeting, February 4, 2012, minutes. No corrections were suggested.

    3. Treasurer Report
    •Ray Stanley gave a financial report; the association has about one half as much as it did three years ago. He stated this was in part due to the litigation expenses involved in Rescue Tellico. Blue Ribbon Coalition is in the process of a fund raiser to help with future legal expenses (more information on the fund raiser will follow).
    •Ray Stanley updated our insurance coverage with Jones Brown Motorsport. Bob Sullivant commended Ray on the efforts he spent getting this company to insure Southern. Our policy for 2012 is $2,637; other insurance quotes were as high as $28,563 for equal coverage.
    •Ray Stanley asked associate clubs to contact him 30 days before an event to give him time to file the information with the Insurance Company. Our Insurance covers every club one free event.

    4. Membership Report, Bob Sullivant
    Bob gave a report on Membership, we currently have 281 members. This includes individuals and member businesses.

    5. General Business, Roger Theurer, President SFWDA
    •Trail Mix – We still do not have a volunteer editor. It was decided previously to publish the trail mix electronically; no more snail mail newsletters.
    •Website – Currently the website is listed under SFWDA.com and once it is completed will revert back to SFWDA.org. The web designer is behind schedule due to our lack of getting the information to him. We desperately need a web master to get the information to the designer and keep this site up to date once it is completed.
    •Trail Fest – Trail Fest will be held May 4-6, 2012, at Coal Creek formerly known as Windrock in Oliver Springs, Tennessee. Online Registration for this event is now available on the website. We continue to need raffle prizes.
    •Dixie Run, Chris Knox – Dixie Run will be held September 28-30, 2012 at Golden Mountain OHV Park. The registration needs to be posted on the new website as soon as possible. This year’s fee for registration will be different from all other years. Some people only come for the meeting and raffle but don’t ride; some don’t want to eat with the group so this year the registration price as “a la carte”. You can choose what to pay for. Plans are to have a tent at the top selling shirts and raffle tickets to keep the gate from having too much to handle. Still need volunteers for technical inspection, silent raffle and cleanup.
    •Side-by-Sides – Discussion – Roger checked on the bylaws and insurance and no amendments will be needed to include side-by-sides at our events. It was unanimous to pursue side-by-sides for our association.

    6. OHV News
    Tellico – TN Flint Holbrook stated that the briefs have been filed and a Judge will hold a hearing in Bryson City, North Carolina. The meeting was postponed from February 22, 2012 and will be rescheduled for May or June. It would look good if there were several OHV supporters in the courtroom.
    Coalmont Park – TN The business plan has been filed and is awaiting final approval. The park is waiting on the release of $800,000 in RTP money. SFWDA committed to volunteer $100,000.00 hours to help build an OHV park to cover part of the cost share.
    Beasley Knob – GA RTP funds have been applied for. Georgia Bounty Runners will notify SFWDA when assistance is needed.
    Uwharrie – NC The Carolina Trail Blazers and North Carolina 4×4 are working with the Forest Service and will be having workday on March 17th.
    Mountain City – TN Flint Holbrook stated the mayor of Mountain City is trying to acquire 8,800 acres of land to add to the 5,000 plus acres of OHV area.

    7. Elections of Directors – The following Director positions are up for elections:
    President
    Treasurer
    Director of Conservation and Land Management
    Director of Membership
    Director of Public Relations (1 year term)

    o President – Upon a motion made by Brian Overly and seconded by Griff Shirley, Gunnar Bryd was nominated to fill the position of President. No other nomination was presented and nominations were closed. Gunnar Bryd was elected by acclamation. This left an opening for Vice President.
    o Vice President – Upon a motion by Gunnar Bryd and a second by Dawn Shirley, Brian Overly was nominated for the position of Vice President. Hearing no other nominations the nominations were closed and Brian Overly was elected by acclamation.
    o Treasurer – Roger Theurer made a motion to nominate Ray Stanley to continue to serve as Treasurer and Bob Sullivant seconded the motion. The nominations were closed and Ray Stanley was elected by acclamation.
    o Director of Membership – There were no nominations or volunteers, Roger Theurer ask Bob Sullivant if he would continue to serve as Director of Membership until the 2nd quarter meeting (June 9, 2012) in hopes that someone will step up for this position at that time. Bob agree to help until a replacement could be found if possible, (Bob said work may conflict with his ability to continue much longer).
    o Director of Public Relations – There were no nominations or volunteers. The position of Director of Public Relations was tabled until the 2nd quarter meeting (June 9, 2012).

    8. Other Business
    •2nd Quarter meeting will be sponsored by Twisted Jeeps at Hawke Pride OHV Park in Tuscumbia, Alabama on June 9, 2012 at 9:00 A.M.
    •3rd Quarter still needs a host, September 8, 2012.
    •No other business was brought before the meeting a motion was made by Roger Theurer and seconded by Bob Sullivant to adjourn the meeting. The motion carried and the meeting was adjourned at 11:40 A.M. Central Time.
